Delay/Cancellation Policy
The following outlines the procedures followed in the event of departure delays/cancellations.
Once a departure has been missed it remains the active departure until 1 hour prior to the next departure at which time that departure becomes active. For example, a departure scheduled for 8:00 AM is delayed and there is another scheduled for 1:00 PM. At 12:00 noon reservations on the 1:00 PM are priority; reservations on the 8:00 AM are next in line **.
Non reserved passengers are handled (based on numbers issued at the ticket office) after ALL reserved traffic has been accommodated. This process is followed throughout the delay period.
** Note that during the winter schedule there are often delays due to ice conditions. During this time the current day will be the priority regardless as to when it occurs.
Reservations for the current departure have first priority. In the event of multiple cancellations the second priority would be the first cancelled departure, then the second, etc. This is followed until all reserved traffic is accommodated. This procedure ensures that customers who have been waiting longest are accommodated first after the current departure reservations. Last priority is any non-reserved traffic. This is handled in order of check-in based on numbers issued at the terminal.
Example; Order of priority is as follows if there were 2 departures cancelled:
- 1st Priority is the current departure as per above
- 2nd Priority is the first cancelled sailing
- 3rd Priority is the second cancelled sailing
- This is repeated until all passengers from cancelled sailings are accommodated.
Customers are advised to maintain contact with ticket offices when there are delays to scheduled departures, the Qajaq W will be operating on a "Load and Go" basis and there will be very little, if any, notice given. Check in time for all departures is 1 hour prior to the information posted. Once loading is complete the vessel will depart. The ONLY exception will be an emergency, i.e. medical as confirmed by a hospital/clinic.
Once a departure has been cancelled reservation deposits will no longer be applied upon check in; those deposits will be refunded from the Reservation Office. The reservation list will still be honored as per this procedure however the cost of the ticket will be full fare.
On occasion flight are arranged, based on Government Policy, after 5 days without departures. Government can make changes as it deems necessary on this policy and advise LMI of same. The priority for utilizing flights is based on the LMI reserved date/time, in reservation number order starting with the first cancelled departure. Non-reserved passengers will be accommodated after ALL reserved passengers have been accommodated.
If you need clarification of this policy please feel free to contact Dave Leyden, Operations Manager by email at [email protected]

Emotional Support Dogs can be accommodated in passenger level areas provided the following requirements are fulfilled. Persons with Disabilities would have to meet the following conditions for their Emotional Support Dog (ESD) to be accepted in the passenger level accommodations:
The Passenger must provide proof from a physician or medical health professional that they are being treated for a mental health disability and that they require an emotional support dog (ESD) to accommodate that disability
The Passenger must submit, at least 48 hours in advance of travel, a veterinary certificate identifying the dog and the person with a disability. A veterinary certificate must be provided and include the following information:
- Identifies the specific ESD by name and breed
- Identifies the person with a disability who relies on that dog as an ESD
- Attests that the ESD is healthy enough to travel; free of any contagious diseases, ticks and fleas; and current on its vaccinations
- States whether the veterinarian has any knowledge of inappropriate behaviour exhibited by the ESD, including aggressive behavior, excessive whining or barking, or causing injury to others. If possible, the veterinary certification should be dated within two months prior to the date of initial travel set out in the itinerary
- The ESD must fit comfortably in an appropriate animal carrier and remain in the carrier for the duration of the voyage
The information noted above must be forwarded, via email to LMI Operations Manager, [email protected], 48 hours in advance of travel. LMI will review information provided and respond by email with decision as quickly as possible.
An exception to policy may be allowed on occasion if urgently required due to a medical issue, i.e., veterinary services are not readily available in the area we service, and there may be an issue where a pet needs to cross for urgent medical attention and cannot be unattended. A letter from the veterinarian would be required prior to travel outlining the nature of the emergency and that the pet cannot be left unattended. This must be forward via email to LMI Operations Manager, [email protected], as soon the situation is known. If possible arrangements will be made and the ship notified. Should an exemption be granted, the passenger would be required to provide a copy of the letter to the Chief Officer at the time of boarding.

Commercial Vehicle Procedures
Reserved Commercial vehicles must be checked in one hour prior to departure.
The rules for commercial wait list are as follows:
Policy regarding “switching” trailers; For RESERVED TRAFFIC ONLY.
If a RESERVED UNIT is located at the opposite terminal, and the driver bringing that unit has checked in, the reservation will be honored provided that the driver/truck is on the vessel to come off the ship to take the reserved load. If no Driver or truck comes off the ship to take the reserved load it will not move and the reservation will be forfeited. It then falls into the wait-list category and a driver must be present to add it to the wait-list. This policy exists as there is insufficient time for a driver to follow the one hour check-in policy if they are travelling on the vessel to pick up the load. It recognizes that in such circumstances it is not economically feasible for companies to have drivers on-site to hold the space.
Customers using other companies to move their loads
It is recognized that some companies use other trucking companies to move their loads. The following covers the exception to the "No substitution" policy as regards Reservations.
Transportation of Dangerous Goods
The safety of the travelling public and ship’s crew is of highest priority and we have reason to believe there have been dangerous goods moving on the Apollo that are undeclared. In the event of an emergency onboard the Captain has to know if there are any products onboard that can have a detrimental effect on how an emergency is handled, i.e., methods used by crew to fight a fire. The customer has an obligation under law to declare any dangerous goods.
ALL products that are dangerous goods must be reported to Labrador Marine at least 48 hours prior to loading at St. Barbe or Blanc Sablon. Dangerous goods are deemed to be any product that has a UN number. A Dangerous goods declaration is available on the website or can be sent by fax or email upon request. This declaration must be completed, with all applicable info, and sent as per info on the form to LMI Operations Manager. Once reviewed the customer will receive confirmation of which products can be moved on a regular crossing and which products require a dangerous goods run. Products requiring a dangerous goods crossing will be reserved for first possible crossing and customer advised accordingly.

The rules for commercial wait list are as follows:
- "First-come, first-served" upon check in at the ticket office. The driver must check in at the ticket office on arrival. Units CANNOT be wait listed unless the truck and trailer are on the premises and there is a driver designated to load the unit.
- Drivers who go directly to the parking lot and don’t check in are NOT ON THE LIST until they physical go to the ticket office and present themselves to the ticket agent.
- Pending space available tickets are sold in the order noted; if a driver doesn’t show at the ticket office when their number is called, or declines passage, they are dropped from the wait-list.
- Drivers who miss this call or decline to travel if space is available will not be added to the wait-list for the next crossing.
- First priority for load order is any reserved traffic
- Second priority is the waitlist, in order of check in, up to a maximum of 2 units per company. An overwide unit (over 8ft 6in) counts as 2 units.
- The 2 per company rule applies whether the customers traffic is reserved or waitlist. If a customer has 2 reserved and a third first on the waitlist, the customer will not get the third unit unless there is excess space available.

It is recognized that some companies use other trucking companies to move their loads. The following covers the exception to the "No substitution" policy as regards Reservations.
- If a company is hauling a load for another company the request, via email including the reservation number, must be sent to the LMSI Operations Manager and must come from the reservation holder. This must be done at least 24 hours prior to the departure date/time.
- If a company is hauling a load that belongs to another company and the above is approved then the company that “owns” the load is to be charged; not the company hauling the load.
- The company hauling the load must have a bill of lading that clearly states the reservation holder is the consignee or shipper of the load.
